JOB PURPOSE


The Project Administrator will be responsible for the total project administration of the project, from concept to close.

Duties


  •     Assist the project manager and / or facilitator in the preparation for, and administration of functions related to the workshops, to ensure that inputs and deliverables are timeous and up to specified standards.
  •     Assist in the preparation and scheduling of workshops, to ensure the effective running of workshops and the printing, copying and binding of workshop reports and documentation.
  •     Responsible for the department's stationary stock levels, to ensure the availability of stationary according to the staff needs.
  •     Adhere to SARS policies, procedures and standards to ensure compliance and consistency in application of guidelines across the organisation.
  •     Assistance with special / ad hoc assignments.
  •     To apply the PMO methodologies for projects ensuring that inputs and deliverables are timeous and up to specified standards. Adherence to SARS/PMO project and corporate governance. Ensure project documentation conforms to agreed standards and procedures, highlighting areas of concern to the Manager PMO Support.
  •     To assist with the implementation of the project, both the functional aspects and the human resource requirements, ensuring delivery of all documentation within the scope of the project.
  •     Assist with the producing of detailed project plans, schedules and budgets from the scope of work and gain sign off.
  •     To assist in the process of the compilation of tender documentation
  •     Assist in the process to conceptualise the project together with the Project Sponsor and gain sign off through the steering committee and produce the project charter
  •     Coordinating the close off of the project paying specific attention to gathering lessons learnt and ensuring these are capturing into the TSD KM System.
  •     To follow a holistic approach in constantly analysing the environment and making recommendations to management in terms of continuing improvement within the PMO administration environment.
  •     A Project administrator working in the PMO support office environment will also be responsible for:
  •     Updating and maintenance of the project register
  •     Ensuring the availability of a central source of high level project status information
  •     Ensuring that progress reports for management detailing status of SARS projects are available
  •     A Project Administrator will apply the appropriate project life cycle support to the project incorporating the following points:
  •     Booking and preparations for project meetings, planning sessions, scoping sessions, workshops and any other meetings; Attend project meetings, and take minutes; Compile the minutes, have them approved by the Project Manager and distribute them to the relevant parties
  •     Set up and maintain a project repository, ensuring that the project files are updated weekly in an orderly manner and stored in a central location
  •     Keeping team members informed of any scope changes by distributing the revised pages of the relevant scope document and updating the central project file after changes have been approved.
  •     Print, copy and bind Project Reports; Maintain and distribute Milestone Schedule; Distribute Project Reports and other documentation; Capture Project Invoices and Costs; Log Change Control, Fault Forms and Project Timesheets; Handover complete Project File on completion

MINIMUM REQUIREMENTS
    Grade 12
    3 years experience in and administrative environment

Ability

Experience

  •     Previous Project Administration experience in at least one full project life cycle.
  •     One to two years Project Administration experience
  •     3 years experience in and administrative environment
  •     SARS Policy interpretation and execution

Knowledge
  •     An overall understanding of Project Administration in relation to the ten knowledge areas specified in the PMBOK Guide
  •     Computer literacy in MS Office, MS Project
  •     Knowledge of diplomacy and protocol
