FIXED-TERM Duration: 2 years – with possibility of extension
PURPOSE OF THE POST:
Under the general supervision of the Procurement Manager, provide assistance and support in the management of procurement activities, which includes collections of information, maintenance of records and preparation of documentation and correspondence pertaining to the related activities.

KEY AREAS OF RESPONSIBILITY:
 The incumbent will:
• Issue invitation to bids/RFP, preside over bid openings, compile and tabulate Quotations, Technical and Financial evaluations and draft Contract Review Committee submissions.
• From prepared bid tabulations, prepare recommendations for placement of purchase orders to be approved by Supervisor.
• Monitor and expedite deliveries against purchase orders in coordination with the Supply and Logistics Assistant, to ensure completion of procurement action in a timely manner ensuring credible delivery schedules applied to meet project implementation schedules
• Correspond with field offices/Suppliers/Supply Division on routine matters.
• Maintain and monitor procurement documents, prepare draft purchase orders as required for supervisor’s signature and receive and verifies vendor’s invoices for verification and issuance of payment documents.
 • Undertake market research to identify potential Suppliers, compile database roster for reference which includes standard products, prices, catalogues, etc., and maintain vendor evaluation records.
• Review requisitions received prior to preparation of purchase orders and check for accuracy of specifications, delivery lead-time and budget allocation.
 • Perform any other duties as assigned by the Supervisor or Chief Purchasing Officer.

MINIMUM REQUIREMENTS:
• Completion of secondary education or equivalent, supplemented by courses in purchasing methods.
 • 3 years of progressively responsible related experience in procurement.
 • Knowledge of Procurement Management and/or purchasing certification are a requirement.
 • Strong administrative skills, good organization and follow-up/monitoring skills.
 • Must be a self-starter, coupled with the ability to work well in a team environment.
• Computer literacy with SAP experience is an advantage.
 • Ability and willingness to work in a multi-cultural environment.
