Background / General description:
The World Bank in Pretoria, South Africa seeks applications for the position of a Team Assistant. The Team Assistant is a member of the Country Office staff recruited locally and based in South Africa. Duties and Accountabilities:
- Provides and carry out the full range office support work, including managing processes and monitoring schedules related to the Operational program and staff, World Bank staff, consultants, and others as requested.
- Co-ordinates with Operational Team and other service units, and liaise frequently with team members at headquarters and in the Country Office, as well as external counterparts and may also be assigned responsibility for the aspect of the unit's administrative functions as well as an assistant to sector staff on mission.
- Solves non-routine problems, and assists with arranging the logistics for workshops, retreats, conferences, negotiations and other meetings for Operations related missions and activities; arranging travel, accommodations, communication, meetings , documentation, and protocol (visas, travel documents, security clearances, etc);
- Produce complex texts, reports, charts, graphs, etc. using word processing, or desktop publishing according to established standards and assist in the preparation of documents, reports and briefing materials as needed;
- Tracks assigned tasks/project steps/ timetables, coordinates with relevant staff, provide assistance and/or information on project-related matters.
- Drafts routine correspondence and proofreads materials using proper grammar, punctuation and style and capable of making full use of shared drive software capabilities.
- Maintains current distribution lists, addresses lists of projects/products concerned, and distributes documents for the team. Also maintains up-to-date work unit project and other files (both paper and electronically).
Selection Criteria:
- A Minimum of college diploma in Secretarial Studies or Office Management
- At least 3 years of relevant experience in a large international service or Private Sector Organization
- Proficiency in using advance functions of standard computer applications and adaptability to use state-of-the-art software.
- Knowledge of and ability to executive business processes involving diverse and work procedures related to the processing and production of assigned outputs in a timely manner.
- Proficiency in English (verbal and written) and effective time management and organizational skills.
- Ability to follow through on team priorities in the absence of the team leader and respond to requests for information. Also ability to adapt to changing business need by continuous learning/training.
- Committed team player with demonstrated inter-personal skills and ability to work effectively in a multi-cultural/disciplinary environment and able to produce high quality work under pressure.

- Technology and systems knowledge - Demonstrates advanced knowledge and experience working with Microsoft office applications (Excel, PowerPoint, Word, etc.). Has ability and willingness to maintain up-to-date knowledge and skills as technology.
