Background / General description


IFC in Johannesburg is seeking a highly motivated, well-organized Team Assistant to provide support to the Finance Team. Under the supervision of the Team Leader and Office Administrator, the Team Assistant will contribute significantly to the smooth running of all administrative tasks and activities the Finance Team provides to the Corporation. While focusing on vendor documentation, contract and payment transactions, s/he will be ready to step up to new responsibilities and challenges whenever requested. The position requests the capacity to concentrate on numbers and processes, as well as to work effectively with colleagues across the Corporation internally, and with government officials, service providers and other external stakeholders externally.

Duties and Accountabilities

  • Duties include, but are not limited to:
  • Liaise with clients (Transactional Team Leaders) for the identification of upcoming contract needs and specifications to ensure timely preparation of contracts.
  • Ensure vendors provide remittance information for payments, and documentation is filed accurately and in a timely manner.
  • Analyse, compile and submitte VAT Claims to SARS and other appropriate places.
  • Check invoices and bills from vendors and prepare payment for purchase of services and goods.
  • Assist in performing Vendor Reconciliation (MTN, Renies etc), review vendor accounts, ensure invoices are settled in time, and call vendors for follow-up where necessary.
  • Prepare correspondence and documents in compliance with IFC/World Bank procedures, standards and timelines. Provide administrative support to staff visiting the Team, and participate in the preparation and logistical planning of team events (eg conferences, meetings, seminars etc).
  • Perform basic office functions such as: sorting and distributing incoming mail and faxes, answering telephones calls in the absence of members of the team, maintaining unit files & contact databases, photocopying, handling team courier, etc..
  • Act as back-up for ACS colleagues upon request.

Selection Criteria
High School and secretarial diploma from a certified school or university, or equivalent educational degree.
3+ years of professional experience in an administrative/secretarial role, ideally in an international environment, and a company with activities spanning over several countries. Work experience in a finance/accounts department is considered a competitive advantage.
High degree of interpersonal skills, judgment and tact in handling and communicating matters of a sensitive and confidential nature, and in interacting with a wide scope of internal and external stakeholders.
High degree of motivation, initiative, flexibility and reliability.
Proven ability to work effectively in a team-orientated, multi-cultural environment, and to function as an effective team member in various groups.
Strong written and verbal communication skills in English, and the capacity to ensure quality of written output.
Effective time management and organizational skills; ability to provide quality work under pressure.
Proficiency in using Microsoft applications; knowledge of Bank policies and procedures is an advantage. Final candidates should be prepared to take tests in Word, Excel and PowerPoint, as well as in speed writing and English grammar.
