JOB PURPOSE
To provide operational and administrative assistance to the TPD Senior Managers with a view to ensure administrative efficiency and effectiveness within the Division.

Duties:


  •     Data capturing, typing, distributing, faxing, follow-ups, filing and ensuring that all documentation is presented in a professional manner (faxes, letters, reports, mail, e-mail, invitations etc.);
  •     Managing and scheduling diary and meetings for the Manager;
  •     Controlling and record keeping of incoming and outgoing correspondence
  •     Co-ordinate venues and catering needs for meetings, workshops etc.
  •     Provide a reception service, involving telephone call answering, making calls to clients, meeting clients arriving for appointments etc;
  •     Making and serving coffee/tea to clients during appointments;
  •     Making and co-ordinating arrangements for business trips, including flight, hotel and vehicle bookings and any other appointments required;.
  •     Ordering, recording and distribution of stationery;
  •     Arrange for maintenance of equipment.
  •     Conduct operational research in accordance with guidance from the
  •     Manager or other divisional team members;
  •     Attend meetings on behalf of the Manager when needed
  •     Ad-hoc assignments as & when required
  •     Deal with enquiries from stakeholders and corporate sectors and direct them to the relevant sections to which their queries relate.
  •     Communicate with all clients dealing with the Manager
  •     Provide an administrative support service to staff from within the unit.

MINIMUM REQUIREMENTS

  •     Grade 12
  •     3/4 years experience
  •     The individual must be able to function in a changing business environment;

Ability

Knowledge

  •     Must have good human relation skills and be able to adopt diplomacy where necessary;
  •     Computer literate, good knowledge of the following: MS Word, Access, Excel) and Power Point;
  •     Must possess good organisation/planning skills and be able to prioritise effectively.
  •     Must be capable of showing initiative;
