Executive Assistant, GS-5
Duration: 1 year – with possibility of extension
PURPOSE OF THE POST:
Under general supervision of the Chief of Africa Services Unit, the successful candidate will provide communication, research, financial and administrative tasks, in support of external relations and communications related activities to support a small media hub.
KEY AREAS OF RESPONSIBILITY:
The incumbent will:
- Coordinate and assist with the execution of logistics and travel arrangements
- Assist in the organization and administrative tasks related to hosting global, regional events and activities in South Africa
- Assist in monitoring programme budget implementation in terms of expenditures and obligations
- Provide and coordinate administrative and logistical support for advocacy, media, fundraising campaigns, network workshops, seminars and meetings for the unit
- Assist in maintaining a calendar that seeks to combine major Africa related news events, UNICEF global, regional and major country related activities as well as research related to children
- Responsible for updating and maintaining a contacts list of partners and maintain a roster of technical consultants relevant to the work of the unit
- Maintain an electronic and hard copy filing system for all video materials, log sheets, images and human interest related materials. Make copies of multi media and communication materials and prepare distribution to media, broadcast partners, other agencies as required
- As required, contribute to the preparation of communication materials, story pitches, human interest materials and fact sheets by conducting basic information and internet research related to children, UNICEF and development issues in Sub Sahara Africa.

MINIMUM REQUIREMENTS:
The ideal profile of the successful candidate will include:
- Completion of secondary education, preferably supplemented by technical or courses in a field related to the programme administration work
- Five years of progressively responsible administrative work, of which at least one year is closely related to support of communication related activities
- A proven ability to prepare concise, complete administrative documentation, with good computer literacy
- Good analytical skills with the ability to conceptualize, innovate, plan and organize
- Ability to make timely and quality judgments and decisions
- Good communication and interpersonal skills
- Good organization and follow-up/monitoring skills
- Must be a self-starter, coupled with the ability to work in a team environment
- Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization
