Job Summary:
Murray & Roberts Projects invite suitably qualified candidates to apply for the position of Executive Assistant. The position will be based in Bedfordview assisting the HR, IR, Fabrication and Procurement Executives and departments as required.
The purpose of the job is to assist in all secretarial or administrative aspects, as required by the Murray & Roberts Projects Executives that you support. The job is to ultimately make your respective Executives lives easier by performing complex tasks, utilising a variety of software packages. Work performance should be professional, consistent and with an unparalleled degree of support. You will be required to deal with a wide range of people every day, meet deadlines and maintain a high standard of work, while taking pressure off your Executives wherever and whenever you can.

Key Responsibilities:
KPI's for this position would include but are not limited to:
• The effective planning, organisation, coordination and control of key responsibilities.
• The KPIs of this position are aligned to five performance dimensions to ensure the effective delivery of support activities for each functional area: financial, operational and technical results; leadership and transformational results; partnership and relationship results; management / operational excellence results; and risk results.

These KPIs include but are not limited in the related responsibilities listed below:-
1. Office administration and co-ordination
2. Accurate minute taking
3. Travel and function co-ordination
4. Multiple diary management
5. Compilation of documentation (e.g. reports, correspondence etc.)
6. Reviewing of documentation ensuring correct language usage before final review
7. Preparation of Presentations
8. Record keeping
9. Maintenance of record systems
10. Screening of Executives phone calls
11. Planning of meetings, strategic planning sessions etc.
12. Co-ordination, preparation and collation of information for board meeting/reports
13. Preparation of payments for and on behalf of Executives
14. Liaison with clients and executives
15. Daily file, signature and review folders prepared on a daily basis
16. Create JDE requisitions
17. Meeting preparation
18. Availability to be on standby as and when required

Key Requirements:
Experience:
• Matric
• Relevant post school qualification advantageous
• ICAP certification preferred
• 10 years secretarial experience with a minimum of 3 years at Executive level
• Must have experience working with more than one Executive or Senior Manager at a time.
